Click on the Employees menu on the left hand side of the menu, which will load up the list of Employees you can search for and select. To begin you can select all, or click to select multiple employees and click load to fill the Employee grid. You can also search for Employees in the Search box. If you’d like to filter Employees list proceed to the Filter section next.
In the filter section you can filter to My Assignments to just view your assignments. Other options include the ability to include Generic Resources or Roles, Include Hidden/Terminated Employees, or report only assignments that are on projects in a different organization unit than the employee (this is typically used to identify cross-charges).
Other options to filter employees by Office, Supervisor, Skill, Team, or Role are listed below.
At the bottom of the filter screen you can save or use existing ‘saved filter searches’, to repeat your search.
Other Setting Changes can be made in the Settings section, here you can choose to report data by Week or Month or adjust how many projects are loaded at one time the grid. Other options include Show History to view Planned vs Actual by week or month for a selected number of periods. You may also adjust Billing or Cost rates if permissions allow, include unposted time, or just show phases that are currently active or will be started in a given number of weeks by using ‘Show Current Phase’. Apply Billable Target will adjust the coloring to be based ONLY ON BILLABLE Projects or apply the color based on ALL Projects.
The Schema/View section in the top right corner, allows you to adjust what columns and data will be displayed on the left hand side of the grid. Essentially this works at the report or column chooser.
To edit weekly or monthly values, you can drill down to the phase/task level and edit cell by cell, or update multiple cells by selecting a starting cell, hold SHIFT and select an ending cell then enter a new value and click enter to update.
If you’d like to assign additional Project to an Employee, open the Projects panel, search for a project and drag them onto an employee at any level.
After dropping you’ll be prompted to choose what phases/tasks to assign the employee. Check the ones you’d like and enter hours to assign and the mode (weekly or total hours).
Video Summary: Planifi's Employee Section, essentially the resource management area, enables managers to load employees they want to manage and report on, view the projects they're assigned to, and see how many hours they're scheduled to work on those projects each week or month.
To access this feature, select the 'Filter' section and choose which employees to report on. Various filter options include generic resources, hidden employees, and assignments scheduled in different organizations. Moreover, you can filter employees by office, team, roles, skills, or supervisor.
The 'Mode' option allows you to report the data by week, month, or financial period. The 'Number of Records to Show' option displays how many employees are reported on one screen, and the 'Number of Weeks/Months' option shows the number of weeks or months loaded.
The Employee Section also includes history, allowing you to compare planned versus actual work at the employee level and for each assignment they're scheduled on. Additional options include reporting on billing rate, including estimates of opportunities, and changing the color-coding for over and underbooking.
In the Employee Section, you can interactively filter the roles you want to report on or manage, and sort them accordingly. The overbooking and underbooking status of employees are color-coded, and these colors can be customized based on your firm's needs.
To view the details of an employee's schedule, click on an employee to expand their schedule and see exactly what they're assigned to work on. This section can be edited cell by cell, and multiple cells can be selected simultaneously for editing, much like working with an Excel spreadsheet.
Planifi's Employee Section also allows managers to add new projects to an employee's schedule during a staffing meeting. Simply search for a project or select a favorite one, and drag and assign it to the employee. Then, choose the phases or tasks to assign, specify the hours per week and total hours for each task.
In summary, Planifi's Employee Section offers a powerful tool for resource management, enabling managers to effectively manage, report on, and even edit their team's project assignments.
