In Planifi you can copy any plan to another, from Estimate/Opportunity to Project, Project to Project, or Estimate to Estimate.
To copy a plan open the main menu in the top right corner and choose Copy, which will open the copy dialog.
The dialog is setup with the Copy From list on the left and then Copy To on the right. If you would like to copy to or from an Estimate/Opportunity enable the "Include Estimate" toggle on either list.
After you've selected what Plan to copy from and to the middle section will try match phases or tasks from one plan to the other by matching codes or names. If no match is found you'll have to manually choose which phase/task you'd like to copy to, or if the match isn't what you'd like it can be adjusted as well.
Lastly at the bottom of the screen you choose which elements to copy, the primary things to consider are:
- Do you want to copy the Schedule?
- Do you want to copy the Team? And if so do you want to copy the hours as well?
- The copy hours proportionally will scale the hours based on the proportional difference of fee between the two plans.
- Expenses, Consultants, and Fees will copy the budget elements of those features.
- Tasks will copy Tasks/Deliverables/Milestones the term depends on your chosen labels.
Summary of steps:
- Here are the directions on how to copy a plan in Planifi:
Open the project you want to copy from and click on the three dots at the top of the page.
From the drop-down menu, select 'Export'. Note that the term might be different depending on your firm's configuration. - Choose the 'Import from' and 'Import to' options. You can import from an estimate, opportunity, or another project. Turn on the 'Include estimates' toggle if you want to copy from one estimate to another.
- Once you select the project to copy to, Planifi will attempt to map one phase and task to the next. It first tries to match based on phase and task code, then on phase or task name. If it can't find a match, it will default to something else.
- If some tasks or phases don't line up, you can manually change the mapping. If you don't want to copy a certain phase or task, choose the 'Do not copy' option.
- At the bottom of the page, you can choose the elements you want to copy: fee and budget, schedule, team assignments, and tasks or deliverables.
- If you choose to copy team assignments, you can decide whether or not to include their budgeted hours.
- The 'Copy Proportionally' option adjusts the amount of hours from project to project based on the fee size. If you copy hours from a project with a $100,000 fee to a $10,000 fee, you'll get 10% of those hours.
- After setting your options and completing the mapping, click 'Save' to complete the copying process.
